Privacy policy

Havsborgen AB’s policy on the processing of personal data: what we collect, why, for how long — and what rights you have.

This policy applies to all processing of personal data that takes place in the business of Havsborgen AB. Among other things, it sets out the purposes for which we process personal data, who we share your data with and what rights you have in respect of your personal data. The policy covers every company in the Havsborgen group.

Who is the controller?

Havsborgen AB, company registration number 559457-2280, is the controller for all processing of personal data carried out by Havsborgen and its subsidiaries. If you have any questions about how we process your personal data, you are welcome to contact us atservice@havsborgen.se.

What data do we collect about you?

If you are a residential tenant of ours, or a contact person for a commercial tenant, a supplier or another partner, or a visitor to our properties:

  • name,
  • address,
  • telephone number,
  • email address, and
  • photograph.

In addition to the data set out above, we also process the following data if you are a residential tenant of ours:

  • personal identity number,
  • contract and apartment number,
  • payment details,
  • key and/or tag number,
  • tenancy period and rent, and any deposit, and
  • garage or parking space and vehicle registration number (only from those who rent a garage or parking space).

Where do we collect data about you from?

Which personal data we process about you depends on how you came into contact with us. As a rule we only process personal data that you provide to us yourself.

In some cases we may obtain data from a third party in the form of information from credit reference agencies. Where we collect data from someone other than the person the data concerns, we normally inform you of this as soon as possible, and at the latest within one month of the data being collected.

At some of our properties we may use camera surveillance in communal areas such as entrances and garages. We do so in order to create a sense of safety for our tenants. Where camera surveillance is used, we always provide information about it by means of clear signs.

Why do we process your personal data?

Havsborgen only processes data for the purpose for which it was collected. We use your personal data for the following purposes and on the following grounds:

To enter into and maintain contractual relationships with our tenants
Performance of a contract with you / legitimate interests. We have a legitimate interest in administering our contractual relationship with you, or with the organisation you represent.
To market ourselves and our services
Legitimate interests. We have a legitimate interest in marketing our rental apartments and commercial premises.
To meet accounting obligations and other requirements laid down by law
Legal obligation. We are obliged to comply with laws and regulations.
To report and handle incidents or insurance matters
Legitimate interests / legal obligation. We have a legitimate interest in establishing, exercising or defending legal claims.
To create a sense of safety at our properties
Legitimate interests. We have a legitimate interest in preventing crime, disturbances, vandalism and the like, and in supporting legal claims.

Registrations of interest via the website

When you send a registration of interest using the form on the website, we process the details you provide: name, email address and telephone number, together with your employer, the type of property you are looking for and your requirements if you fill those in. We use the details solely in order to get back to you about available commercial premises and apartments that may suit. The form is received by our web provider Netlify, which processes the data on our behalf as a processor.

We keep the registration of interest for as long as it is current — that is, for as long as you are on our waiting list for a property — and delete it thereafter. You can ask us to remove your registration at any time by contacting us using the details below.

Website statistics

To see how many people visit the website and which pages are read, we use Plausible Analytics. The tool uses no cookies and collects no personal data — which is why the site has no cookie banner — and it does not track you across websites.

The statistics are processed on servers in Germany and do not leave the EU. The provider is Plausible, a company registered in Estonia.

How long do we store your personal data?

We only process personal data for as long as it is necessary in order to fulfil the purpose of the processing. We delete personal data on an ongoing basis once it is no longer relevant to the purposes for which it was collected. Material from camera surveillance is normally stored for three days and may in exceptional cases be kept for longer.

Do we pass your personal data on to anyone else?

We may share your personal data with trusted partners with whom we have entered into written agreements and who process your personal data in accordance with our instructions. This concerns, for example, our external suppliers of support, finance and IT services.

We may also share personal data with companies within the Havsborgen group for internal administrative purposes.

Will we transfer your personal data outside the EU/EEA?

As a rule we do not process your personal data outside the EU/EEA. Where your personal data is processed outside the EU/EEA, it is always done in accordance with applicable law and with the prescribed safeguards in place.

How do we protect your personal data?

We have taken a range of technical and organisational measures to make sure that we process data about you in accordance with applicable data protection legislation and with this policy, and so that personal data is not lost or made available to unauthorised persons.

Havsborgen has procedures for encrypting the hard drives used within the organisation and for password-protecting the company’s computers and their hard drives. We also have procedures for password strength and for changing passwords.

What rights do you have when we process your personal data?

Right of access

You have the right to contact us to find out what data we process about you, for how long the data will be processed, where the data was obtained from, for what purpose or purposes it is processed and to whom it has been disclosed.

Right to rectification, erasure and restriction of processing

You have the right to ask us to rectify or erase personal data that is inaccurate or processed contrary to applicable law. Likewise, you have the right to object to our processing of personal data, and in certain cases you have the right to ask us to restrict the processing of your personal data.

Right to data portability

In certain circumstances you have the right to have your personal data transferred to another service provider.

Right to withdraw consent

Where our processing of your personal data is based on your consent, you have the right to withdraw that consent at any time.

Right to complain

If you consider that we are processing your personal data incorrectly, we encourage you to contact us in the first instance so that we have the opportunity to look into your concerns. You may in addition always lodge a complaint with the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten).
